The System

Here is what you are building: a repeatable process for responding to every Google review using AI-generated drafts that you review and personalize before posting.

Set up review notifications

Make sure Google Business Profile notifications are turned on so you know when new reviews come in. Go to your Google Business Profile, click Settings, then Notifications, and enable review alerts. You want to respond within 24 hours whenever possible.

Identify the review type

Notice what the negative review response does not do: it does not argue, it does not explain what went wrong, and it does not offer a discount publicly. It stays calm, takes responsibility, and moves the conversation offline.

Never include private information in a public response. Do not mention customer addresses, phone numbers, order details, or account information. If you need to discuss specifics, take it offline.

Take serious complaints offline immediately. If a review mentions a safety issue, legal concern, or potential harm, do not try to handle it in a public reply. Contact the customer directly and involve the appropriate people at your business.

Do not fabricate details. If the AI adds something you did not actually do or says something that is not true about the situation, remove it. Accuracy matters more than sounding polished.

Watch for fake or malicious reviews. If you believe a review is fraudulent, flag it through Google Business Profile rather than engaging with it publicly. Responding to fake reviews can give them more visibility.

Going Further: Advanced Version

Once you are comfortable with the basic system, you can take it further:

  • Build a response library. Save your best responses in a document organized by review type. Over time, you will have a library of proven templates that reflect your voice and your business.
